Kumeu Racquets Club Membership Terms and Conditions

For the purposes of this document, the Kumeu Racquets Club will be referred to as “KRC”. The representatives of the Club are the KRC Management Committee, henceforth referred to as “Committee”, who are contactable via email at administrator@kumeuracquetsclub.org. Please note that the Committee are volunteers, so there may be a delay in response.

 

Acknowledgement of KRC Terms and Conditions

  • I hereby declare that the information I have provided in my membership application is true and correct to the best of my knowledge and experience.
  • I have read and understand the privacy policy, terms and conditions, and code of conduct below and accept that the Committee may alter, amend, remove, or add to these conditions at any time during my membership period.
  • I acknowledge that the Committee has, at their discretion, the right to suspend, cancel, or revoke my membership for breach of these conditions.

PRIVACY POLICY

Upon joining, KRC collects personal information from you on the membership form in order to:

  • Contact members regarding club activities and news
  • Process membership renewals
  • Maintain a database of club members
  • With your permission, establish a profile with Squash New Zealand (if relevant, see Appendix A)

KRC keeps your information safe by storing it securely on our internal club electronic system. The personal information that we collect will be retained until you request it be removed. You have the right to ask for a copy of any personal information we hold about you and to ask for it to be corrected if you think it is wrong. Contact the Committee to request a copy of or correction to your information.

 

KRC has CCTV cameras installed that are recorded. These are used for, but not limited to, monitoring:

  • club security and damages,
  • adherence to court booking protocols,
  • non-members for compliance with payments and regulations,
  • health and safety concerns.

By joining KRC, you consent to the collection of audio/visual information when you are in public spaces at KRC. Only the Committee has access to the recorded footage, which is stored securely in an electronic system and periodically deleted.

MEMBERSHIP CONDITIONS

Membership Duration and Renewal

Your membership is valid for either three or twelve months from the date of purchase. Memberships cannot be refunded, paused, or transferred to any other person.

KRC may request proof of age for membership concessions. A junior must be under 19 years, and a senior citizen must be 65 years or older for the entire membership duration. A family membership covers two adults and two children, with any variations at the Committee’s discretion.

Memberships can be renewed at any point within one month of their expiry, with additional duration appended from the existing expiry date. A maximum of one membership term can be purchased in advance. Requests to upgrade to a more expensive membership subscription before the existing membership term expires should be directed to the Committee, with associated charges considered on a case-by-case basis.

 

Membership Holder

The membership is held by the named person on the application. If applying for membership as a parent or guardian on behalf of a minor, the application does not entitle you personally to a membership. Applicants for a family membership should name the other family member(s) in the “Additional Family Members” section of their membership application.

Memberships must be held by individuals rather than corporations unless arranged with the Committee. You may not use your KRC membership for financial gain without written approval from the Committee, i.e., you cannot use your membership to provide paid coaching, training or drill sessions at KRC, regardless of whether this involves members or non-members. Requests to use the club facilities for these purposes must be addressed in writing to the Committee.

 

Membership Termination

The Committee reserves the right to suspend, terminate or revoke an active membership at any time on grounds including but not limited to poor character, failure to comply with club regulations, and abuse of membership privileges. In these circumstances, this decision will be communicated to the affected member(s) via email. The member will have the chance to appeal, but their fob access to the club may be restricted immediately.

If your membership is prematurely terminated by the Committee, any refund will be at the discretion of the Committee to a maximum value of one-third of the original membership.

ACCESS FOBS

Fob Issuing & Usage

Members can opt to be issued with a fob to access KRC outside of session times. This fob is only to be used by the member to which it has been issued, and breaches will result in immediate membership suspension and fob deactivation. If a fob is lost or damaged, the Committee must be notified as soon as possible, and the member forfeits any deposit and is liable for the cost of a replacement.

An individual membership entitles you to one access fob. A maximum of two access fobs can be associated with a family membership. Once your membership with KRC has lapsed, we request that you return your access fob(s) so that these can be reused.

 

Fob Deposits

An additional $25 refundable deposit is required for a fob to be issued for three-month memberships. This deposit can be paid by online banking, EFTPOS, or cash.

Once the initial membership term in which you purchased the fob(s) has expired, you have one month to reclaim your fob deposit. Fob(s) must be returned to a Committee member, and bank details for your refund must be provided within this month to reclaim the deposit. After this period, your deposit becomes the property of KRC. If at any time your membership has lapsed for a period longer than one month, you are no longer eligible for a refund, even if you have since re-registered.

USE OF KRC FACILITIES

Club Housekeeping

All people at KRC must obey the Code of Conduct below (Appendix B). Children under the age of 14 must be supervised by a parent or guardian at all times. KRC and its Committee are not liable for any accidents or injuries sustained on and around the premises. Soft-sole non-marking shoes must be worn on the KRC courts at all times, and any damage will be billed to the member responsible. All pickleball and badminton players, members and non-members, must sign the register book in the hall with their full name every time they play.

The last member to leave the club is responsible for ensuring that the premises are vacated, all external doors and windows are locked, running taps are switched off, the lights are turned off using the red button next to the front door, and that the front door is shut securely and locked.

The KRC facilities are provided as-is for members. At certain times of the year, temperature and humidity may affect playing conditions, and members are expected to exercise common sense when selecting booking times. Temperature gauges are provided alongside each of the courts to enable members to make an informed decision about whether to continue playing. KRC is not liable for any accidents or injuries sustained due to play in adverse conditions.

KRC is a smoke-free, vape-free club. Any alcoholic beverages consumed on the premises must be purchased from the bar in the upstairs lounge, and no BYO is permitted. Further information on the KRC Host Responsibility Policy is displayed in the club and is available upon request.

 

Front Door Access

Outside of Committee-approved club sessions (Appendix C), the front door of the club is to remain closed and locked at all times to prevent non-members from entering. This is for the security of the club and its members. Approved sessions consist of the following:

  • code-specific open sessions/club nights,
  • tournaments,
  • interclub.

Occasionally, the front door must be left open to facilitate maintenance around the club. In these circumstances, this will be supervised by a Committee member.

If you have non-members coming to play, you can arrange to meet them in the carpark or at the front door, or they can contact you on arrival so that you can let them into the club.

Internal doors within the badminton/pickleball hall and adjacent to the squash courts may be left open during play to provide airflow, provided a member is monitoring access to the club at all times. These doors must be closed once no one is in the space and before the club is vacated.

 

Equity of Facility Usage

Three racquet sports are catered for at KRC: badminton, squash, and pickleball, henceforth collectively referred to as “codes”. No preference will be given to any of these codes over the others to ensure equal usage rights to all members.

Equipment (i.e., racquets, paddles, balls, shuttles) will be provided only at Committee-approved sessions (Appendix C), which are advertised on the KRC website. There are to be no privately-organised sessions advertised or established at KRC without the express permission of the Committee.

As badminton and pickleball share the same courts, it is expected that members may need to change which nets are used. Unused badminton posts must be laid down underneath the benches in the hall to prevent injuries, with nets removed from poles and folded neatly to avoid damage. The pickleball nets should be gently moved to the back of the hall so that these do not obstruct the courts.

KRC has shower and bathroom facilities for our members and guests. The club has a limited tank water supply, so please be mindful of this when using these facilities.

NON-MEMBERS/CASUAL PLAYERS

KRC members may bring a maximum of three non-members into the club at any time. Members’ children under 14 years are exempt from this total but must be supervised at all times. Non-members of any age must pay a casual fee per session, either through cash deposited into the KRC office or online transfer into the KRC bank account.

Any non-members on the premises are the responsibility of the member they are with and should never be left unattended in the club. The member is expected to ensure any non-members they have brought on-site are informed of club rules and expectations and take financial liability for any damages caused by these non-members.

The supervising member is also responsible for ensuring that the badminton/pickleball register is completed (if relevant) and the relevant casual fee is collected for any non-members that they have brought on-site. Failure to comply with these rules may result in a warning and membership suspension.

COURT BOOKINGS

Court bookings are available to all members through the KRC Friendly Manager site. KRC can be booked 24/7 outside of scheduled club sessions, subject to availability. Bookings are available in half-hour intervals and open at midnight one week in advance on a first-in, first-served basis. Bookings are free for members but must only be for personal use, i.e., not for financial gain through coaching, etc.

Members may only book one court for any given time slot. Those with a family membership may book a maximum of two courts simultaneously.

The maximum length of a court booking is two hours. Booking two time periods with an unbooked interval in the middle (i.e., 6.30-7.30 pm and 8-9 pm) will be counted as a single continuous booking and must still comply with this timeframe. Players may continue if no one is waiting for the court after a booking has finished, but priority is given to those who have booked.

The member who makes the booking must be present at KRC for the entire booking duration, regardless of whether the others using the court are also members. If a booking is no longer required, it must be cancelled as soon as possible so other club members can book the court. If a member is more than 15 minutes late to their booking, the booking will be considered cancelled. Failure to comply with these regulations and/or repeated violations will result in a written warning and potential membership suspension at the discretion of the Committee.

The Committee reserves the right to use and book the courts for tournaments, interclub, club nights, maintenance, and private functions as they see fit. These take precedence over private member bookings and will be marked on the events calendar in blue. Members will be notified by email if their booking is affected, but these will typically be announced well in advance.

Appendix A - Squash Club Addendum

By signing up for a squash membership with KRC, I understand I also have the option to apply to become a member of Squash New Zealand Poipātū Aotearoa and Squash Auckland. If so, I agree that my personal information (and, where applicable, the personal information of the minor for whom I am the parent or guardian) will be shared with Squash New Zealand Poipātū Aotearoa.

Personal information provided to Squash New Zealand Poipātū Aotearoa by KRC will be limited to first and last name, email address, phone number, and date of birth. You will have the opportunity to provide additional information at your discretion.

This will be done through the creation of a personalised MySquash account for the purposes of:

  1. providing me (and, where applicable, the minor for whom I am the parent or guardian) with access to the features associated with the relevant MySquash subscription, which forms part of the benefits of club membership,
  2. maintaining the national squash player database,
  3. statistical and administrative reporting.

I understand my personal information will only be used in accordance with Squash New Zealand Poipātū Aotearoa’s Privacy Policy.

Appendix B - Code of Conduct

This Code of Conduct aims to encourage fair, ethical treatment of all persons and playing codes involved with KRC. All persons participating in KRC activities will agree to abide by this code of conduct and acknowledge that any breach of any part of it may result in disciplinary action.

 

As a KRC member and/or participant, you should meet the following requirements with regard to your conduct:

  • be professional in, and accept responsibility for, your personal actions
  • respect the rights, dignity and worth of all people involved in the game, regardless of their gender, ability or cultural background
  • promote responsible health, safety and well-being of all members of the KRC community
  • give due consideration to others who may have fallen sick or become injured
  • refrain from any form of abuse, harassment, discrimination or victimisation towards others
  • promote positive interests in the KRC
  • refrain from using any obscene language or gestures
  • be aware of and operate within all standards, rules, regulations, and policies of the KRC
  • understand the possible consequences of breaching the KRC Code of Conduct
  • immediately report any breaches by KRC members to the appropriate authority
  • never act in any way (including providing comments to any media or website) that may bring disrepute or disgrace to KRC, its stakeholders, or its sponsors
  • reject corruption, drugs and other dangers (including sports betting and gambling) to KRC.

 

Parents/Guardians will:

  • encourage children to participate for their enjoyment and not force them
  • support children to always play according to the rules and to settle disagreements without resorting to hostility or violence
  • remember that children learn best by example and focus on their efforts and performance rather than winning or losing
  • never ridicule or yell at a child for making a mistake or losing a competition
  • respect officials’ decisions and teach children to do likewise
  • support all efforts to remove verbal and physical abuse from sporting activities
  • show appreciation to all coaches, officials and administrators.

 

Players will:

  • play to win but through fair play and by the rules
  • respect the decisions of all officials and cooperate with fellow players, coaches and administrators
  • display modesty in victory and accept defeat with dignity
  • thank the opposition and officials at the end of the match
  • comply with all training, competition and behaviour requirements.

 

Any breach of this Code of Conduct or persistent violations of any aspect of the Code of Conduct will be dealt with by the Committee and may result in your membership being terminated or suspended.

  • Saturday, 10:00 am - 1 pm (Intermediate/Advanced).
  • Thursday 6 pm - 7 pm (Beginners).
  • Thursday 7 pm - 9 pm (Intermediate/Advanced).
